When you contact us via any means to get an expert’s take on your project or make a request, we process your data to enter into a contract, comply with contractual obligations, or answer your request. This includes providing services, processing transactions, and connecting you with team members. We may analyze your data for an integrated experience under our legitimate interest.

Project requirements and other information submitted by a customer may be stored and shared using Google, Adobe, Microsoft Office, Atlassian, and Trello. Phone calls are provisioned using services for storing historical data about activities. Trello and Atlassian are used for internal business processes and timely request processing. Audio recordings of negotiations are stored using services like GoToMeeting, Hangouts, or Zoom. Case studies are stored on an internal web portal—SharePoint Portal, accessible only to infotrode employees. Contracts data is stored in a secured internal network resource, accessible to account managers for improving service delivery. Invoicing services like Azets AS are used for issuing invoices.

6.3. Purposes and Legal Basis for Data Processing:

Personal data is used to fulfill/comply with contractual obligations or answer requests. It is also used to enhance productivity, improve collaboration, and provide information believed to be of interest. Communication history is stored for maintaining customer relations and supporting the CRM system.

The retention period for customer data is 1 year from the last service delivery for relevance to the initial request.

7. Data We Gather From the Attendees of Our Events

7.1. Categories of Data Collected:
When registering or attending infotrode events, you share:
  • Names/surnames of contact persons
  • Positions

  • E-mails
  • Skype IDs
  • Company name/address
  • Any other information provided during service delivery
  • History of our communication, etc.
7.2. How We Process the Data Gathered:

Data about event attendees is stored in our internal CRM and Hubspot for further processing. Messengers, e-mail services, social media platforms, VOIP phone services, and conferencing services may be used to share contact information and event-related details. Event registration and ticketing are facilitated through Eventbrite. Information about attendees is stored and shared using Google and Microsoft services. Remarketing and advertising instruments via Google Adwords are used for marketing activities. Meetup.com is used to build a community around events. Internal processes and communication channels are optimized using Atlassian and Trello.

7.3. Purposes and Legal Basis for Data Processing:

Data is used to establish efficient communication with customers about services, fulfill contractual obligations, and answer requests. For legitimate interest, contact information is used to send relevant promotional materials.

7.4. Data Retention Period:

The retention period for event attendee data is 6 years from the last registered event.

7.5. Data Recipients:

Personal data is not shared with third parties, except for providing a list of registrars to event organizers for organizational and security purposes.

8. General Data Processing and Data Storage

Our processing involves various operations on personal data, such as collection, recording, organization, storage, adaptation, retrieval, consultation, use, disclosure, alignment, combination, restriction, erasure, destruction, support, maintenance, etc.

The retention period for data varies by type. Upon expiration, we delete or anonymize personal data. Data transferred to backup storage, which can't be deleted, is securely stored without further use. Information collected by third parties is subject to their privacy policies.

To prevent spam, we track and block spam and swindler accounts at the server level. Requests with potential spam-related words are filtered both at the server level and manually by employees. Data is stored on our servers, as well as on cloud services provided by Google, Amazon, Hubspot, and others specified in this policy. We do not make automated decisions, including profiling.

9. Your Rights

9.1. The Right to Be Informed and to Access Information:

You have the right to access your personal data and request information about its use. Requests for personal information will be provided within a month in a password-protected PDF file. Fees may apply for excessive or repeated requests.

Data is hosted in the United States and Ireland with extra technical measures for security. Measures include data encryption, password-protected access, limited access to sensitive data, encrypted data transfer, firewalls, VPN, intrusion detection, and antivirus. Third-party providers protect data collected by them according to their terms and privacy policies. Data entrusted to infotrode under NDAs and contracts is protected, meeting GDPR technical requirements.

11. Data Transfer Outside EEA

Information collected worldwide is stored in the United States and Ireland. Data transfers occur for services, maintenance, and support, subject to the terms and privacy policies of providers. Data collected by infotrode may be transferred across offices.

12. General Description

Privacy policy changes will be posted on this page. Review the privacy policy when using our services for updated data practices. Our services are not directed to individuals under 16. We do not knowingly collect information from individuals under 16. Disagreement with changes requires discontinuation of service use.
